General Terms and Conditions Grand Hotel Monopole

1. Agreement

Unless special written provisions are issued by an authorized person, these current general terms and conditions apply to all commitments of Grand Hotel Monopole represented by Grand Hotel Monopole B.V.

These conditions are listed on the website www.grandhotelmonopole.nl. Thus, they have been sufficiently communicated. The tacit acceptance is sufficiently demonstrated by visiting our premises or receiving our documents or services.

2. Payment Terms

Our invoices are payable on the invoice date without discount. Individual guests must provide a credit card guarantee upon reservation, under penalty of automatic cancellation. If the invoice is not paid or not fully paid after 30 days, the guest is automatically liable for a compensation of 5% on the invoice amount.

Interest and compensation are due solely due to the non-payment. Payments after a delay in payment are first charged to interest and compensation, and only then to the invoice price. Non-occupancy of the accommodations made available, an incomplete and/or disputed stay and/or reservation and/or service by the guest can never be used as an excuse for a delay in payment. Any delay in payment gives the hotel the right to unilaterally and without compensation to the buyer, cancel all existing and not yet executed agreements as well as to stop the execution of ongoing agreements.

3. Description

The descriptions, sizes, and colors, as well as details of photos and/or drawings in the quotations, catalogs, website, booking sites, and social media are purely informative and never binding.

4. Check-in and Check-out

The reserved accommodations are available from 3:00 PM on the day of arrival and must be vacated by 11:00 AM on the day of departure. If a guest with a guaranteed reservation does not show up by the indicated time, the hotel has the right to charge the guest a compensation equal to the total reservation value including any requested additional services.

5. Complaints

Any complaint regarding stay, goods, and/or invoice must be reported to the hotel by the guest as soon as possible during their stay, to give the hotel the opportunity to address the complaint immediately.

In any case, the complaint must be made, under penalty of forfeiture, within eight days after delivery, service, and/or invoice, in writing.

6. Force Majeure

In case of force majeure, unforeseeable events beyond its control and/or exceptional circumstances, the hotel reserves the right to accommodate the guest at a colleague hotel, if possible in the vicinity, without any form of compensation.

7. Damage

All damage caused by the guest, both to accommodations, furnishings, and/or others, belonging to or at the hotel/estate or belonging to third parties with whom the hotel maintains relations, is paid in cash according to the statement accepted by the guest, without discussion, and this no later than the guest's departure. Regarding the parking of vehicles in the hotel's parking and garage boxes, as well as in facilities belonging to third parties with whom the hotel maintains relations, it is agreed that the hotel is exempt from any responsibility, of any cause, such as, without being limiting, damage, theft, and/or disappearance of the vehicle or the items attached to and/or lying in or on it, as well as, for example, bodily injuries to guests or third parties caused by anyone or anything in these places.

Grand Hotel Monopole is completely smoke-free. Therefore, smoking is not allowed inside our buildings. This smoking ban also applies to the rooms/suites. If management determines that the smoking ban has been violated, the fine/compensation is €250 per violation.

8. Disputes

In any dispute, wherever the act, service, or agreement takes place, only the court is competent and this exclusively according to Dutch Law. Bills or differing payment modalities do not change this competence. The guest accepts these general terms and conditions at the time of booking. The guest declares to know, understand, and agree with these conditions, and also to comply with the usual house rules of the hotel establishment and the instructions provided by the hotel staff. The hotel is entitled at any time and without notice to terminate the provision of hospitality services to a guest when the guest repeatedly violates the house rules, or otherwise behaves in such a way that the order and peace in the hospitality business and/or its normal operation can be or is disturbed. The guest must then leave the hotel at first request.

9. General Terms

Events

Payment Terms:

  • After acceptance of the offer, a deposit of 50% will be requested, which must be paid within 7 days after the invoice date.
  • Within 60 days before the start of the event, a second deposit of 25% will be requested, which must be paid within 7 days after the invoice date.
  • If acceptance of the offer falls within 60 days before the start of the event, we will request a deposit of 75%, which must be paid within 7 days after the invoice date.
  • After completion of the event, the remaining 25% of the accepted offer + additional consumption based on post-calculation will be invoiced. This invoice must be paid within 7 days after the invoice date.

Cancellation Terms:

  • Up to 60 days before arrival, a maximum of 50% of the confirmed reservation can be canceled free of charge.
  • From 60 to 30 days before the start of the event, a maximum of 25% of the confirmed reservation can be canceled free of charge.
  • From 29 to 8 days before the start of the event, 90% of the reservation value will be invoiced.
  • From 7 days to the start day of the event, no-show, or earlier departure date, 100% of the reservation value will be invoiced.

Other Event Conditions:

  • Changes in numbers can be communicated up to 30 days before the start of the event, a deviation of up to 20% is accepted.
  • From 29 days before the start, the full amount will be invoiced for a change in numbers.

Groups

Reservations from 5 rooms are treated as a group reservation.

Payment Terms:

  • After acceptance of the price proposal, a deposit of 50% will be requested, which must be paid within 7 days after the invoice date.
  • Upon check-out, the remaining 50% of the price proposal + additional consumption during the stay based on post-calculation will be settled on-site.

Cancellation Terms:

  • Up to 60 days before arrival, a maximum of 50% of the confirmed reservation can be canceled free of charge.
  • From 60 to 30 days before the start of the group, a maximum of 25% of the confirmed reservation can be canceled free of charge.
  • From 29 to 8 days before the start of the group, 90% of the reservation value will be invoiced.
  • From 7 days to the start day of the group, no-show, or earlier departure date, 100% of the reservation value will be invoiced.

 

Individual Reservations (1 to 4 rooms)

Payment Terms:

  • When making a reservation, credit card details are requested to guarantee the reservation. If the reservation is booked at a non-refundable rate, the credit card will be charged.

Cancellation Terms:

  • Free cancellation up to 24 hours prior to 3:00 PM (local time) on the arrival date. If canceled less than 1 day before arrival, you will pay the reservation value of the first night, including the overnight stay and any reserved hospitality services.

In case of no-show, the total reservation will be charged.

10. Credit Card Guarantee

The guest will provide a credit card at check-in, from which Grand Hotel Monopole will record the details. If the guest does not make the payment within the agreed period, or uses facilities (e.g., bar, restaurant, etc.) that are not indicated at check-out, the hotel will have the right to deduct these via the credit card, on the sole condition that the details of the settlement are provided to the guest, either electronically or by mail. In any case, the guest must protest the executed payment in writing within 8 days if they believe it was not justified.

Art 1152 BW applies here.

11. Pet Policy

It is not allowed to bring pets into our hotel. By making a reservation and staying in our hotel, you agree to this pet policy.

If a pet is found in the room, we reserve the right to charge an additional cleaning and repair fee of €250,-. This fee will be charged directly to the provided payment method.

13. Lost and Found

Did you forget or lose something during your stay at our hotel? We handle lost and found items carefully and follow the legal rules (Civil Code Book 5, articles 5:5 et seq.).

Retention Period

  • Items with an estimated value under €450 are kept by us for a maximum of 3 months.
  • Valuable or identifiable items (such as passports, driver's licenses, bank cards, or large sums of money) are not kept by us but are transferred to the municipality or police as soon as possible.
  • Unhygienic or personal items (such as underwear, socks, razors, food, cosmetics, etc.) are not kept for hygienic reasons and are immediately removed.

Retrieving Your Property
Contact us with as clear a description as possible of the item and the probable date of loss. We only hand it over to the rightful owner, after sufficient proof of ownership.

After the retention period expires, we reserve the right to remove or transfer unclaimed items according to applicable legislation.

14. Tourist Tax and Accommodation Contribution

Upon arrival at Grand Hotel Monopole, please be aware of the following additional costs, which are not included in the room price:

  1. Tourist Tax
    A tourist tax of €2.70 per person, per night is charged. This tax must be paid upon arrival.
  2. Accommodation Contribution ("Service Charge")
    Additionally, an accommodation contribution of €3.90 per person, per stay applies. This amount is also collected upon arrival.

By booking a stay at Grand Hotel Monopole, you agree to pay the above amounts upon arrival.
